Privacy Policy

1. What we collect
Orchid Horizon Limited (NZBN 9429053317568) is responsible for the personal information described here.
When you get in touch. When you join the launch list or send us a message, we collect the details you give us: your name, your email address, and anything you choose to write in the message box. That is sent to our studio inbox and kept in our own records so we can reply and so we know when it is your turn.
When you buy. We keep a record of the purchase: your name, your email address, the amount, the currency, the Stripe reference numbers, and which version of these documents was live when you bought. We use it to give you access, to answer a question about your order, and to handle a refund.
What we never see. Your card details. Payment happens on Stripe’s own checkout page and your card number never touches our site or our records.
Cookies. We set two, and both exist only to keep you signed in: one for the tester gate and one for our own admin console. We use no analytics and no tracking of any kind, and nothing on this site follows you anywhere else. There is no third-party cookie to consent to because there is no third-party cookie.
Your agreement. When you start and when you finish the questionnaire, we record that you agreed to these documents: your name, your email, which version you agreed to, the time, and a one-way hash of your IP address rather than the address itself.
2. How we use it
We use your information to reply to you, to let you know when a place opens, and to deliver the setup you have bought. We do not sell your personal information, and we do not send marketing you did not ask for.
3. Your data and AI tools
The setup runs on your own Claude account, not ours. Your data stays in your own tools and subscriptions, and anything you put through Claude is handled under Anthropic’s privacy terms, not ours.
4. The Home and Business PA setup questionnaire
The Home and Business PA intake form saves your answers in your own browser and downloads them to your device as a file. Those answers are never sent to us. There is nothing to upload and no copy of your questionnaire on our servers, so there is nothing for you to ask us to delete. If you have a strengths or personality report, you attach it to your own Claude during setup, on your device. It does not pass through us. The questionnaire is optional and you can skip any question, including the ones about how you are wired. If you tell us something sensitive, such as a neurodiversity diagnosis, it stays in the file on your device along with the rest of your answers.
5. Sharing
We share information only with the service providers that help us run the business, and where the law requires it. We do not sell it and we do not pass it to anyone for their own marketing.
The providers we actually use, and what each one gets:
- Stripe handles payments and holds your card details. They are our payment processor and they have their own privacy policy.
- Resend sends our emails, so it handles your name and email address.
- Neon hosts our database, where the purchase record, the allowed list and the consent records sit.
- Vercel hosts the site itself.
Some of these store data outside New Zealand. Under the Privacy Act 2020 we only use providers that are required to protect your information to a comparable standard.
6. How long we keep it
Purchase records and consent records are kept for seven years, because tax and company law require us to hold records of what we sold and to whom. Launch list entries and messages are kept until you ask us to remove them, or until they are clearly no longer needed.
Your questionnaire answers are the exception, and the simplest case: we never hold them at all, so there is no retention period to state. See section 4.
7. Your rights
Under the New Zealand Privacy Act 2020 you can ask to access or correct the personal information we hold about you. To make a request, email us using the address below and we will reply within 20 working days, which is what the Act allows.
You can also ask us to delete what we hold. We will, other than the purchase and consent records we are required to keep, and we will tell you plainly if that is the reason something stays. If you are not happy with how we have handled a request, you can complain to the Office of the Privacy Commissioner at privacy.org.nz.
8. Changes to this policy
We may update this policy. The date at the top of this page is always the version that is current. If we ever change it in a way that materially affects what we do with information we already hold about you, we will tell you by email rather than relying on you noticing a new date.
